This feels like a great place to put a call out to see who can help manage the swaps as we move forward. The swaps are getting very popular and we would love to have a team of helpers to manage the mailing list of people participating, sharing of swapped ATCs and all of the little things that go into making a swap a success. Let us know if you are interested in helping with this!

Ill give it a try. Im pretty stupid when it comes to computer stuff but im heck on wheels with written lists,LOL.

I dont personally there is anything wrong with the way we do the swaps. I just think its fustrating for people not to see their work in the gallery. Atc's are so much fun to do and recieve and i personally enjoy seeing the ones everyone recieve also.

Suzanne. You would have to check with Susanne when she returns , but I was thinking that it might be hard to have some one take over the countries at this point because Susanne has been trying to make sure the swap partners are different for each one, It might be difficult to transfer responsibility. I don't know. but with that being said after USA there are only two more stops. Maybe at that point we could raffle off for a different swap organizer each month, as a bonus for being chosen the organizer can pick the theme for that month and possibly  each participant can also send the organizer a card too. I think having each person be responsible  for  sending out the cards to their partners is the best way to go because it cuts down the middle man so to speak. I think this would give Susanne more time to enjoy TAC a little more too!  

Thank you for stepping forward Christina. We aren't saying that there is anything wrong with how the swaps have been done. What we are hoping to do is share the work load and get input from our community on ways we might improve our swaps. It's all new for us, so we just want to make sure we are listening to our members and offering things that add value!

Maureen please be assured that we will discuss all of this with Susanne and ask for her input too, of course. Our hope is that we can run the swaps in a way that allows Susanne to create and be a part of the swapping fun! Just looking for feedback and dialogue at this time.

Suzanne, thank you for setting up this thread to discuss potential ways to improve the swaps and share the responsibilities!

In terms of sharing responsibilities, I wonder if we could create a list of the tasks involved with running the swap, and see if we can dole out some responsibilities for future swaps. (No doubt Susanne will be extremely beneficial in helping us create the list of tasks when she returns!) For instance, maybe one or two people can be in charge of adding names to the swap list when people sign up, one person can be in charge of compiling the list of swap partners, maybe one or two people can be designated to answer any questions people have... Off the top of my head, those are the main duties that seem to be involved.

It might be easier to put the tasks in a bullet point list:

  • add names to the main list after people sign up
  • compile and post the list of swap partners
  • answer questions about the swaps
  • post the sign-up thread each month
  • post the "ATC gallery" thread each month

Maureen has a good point, about how when one person is in charge of the partner list, that person will have a better idea of who's been paired with who and try to avoid repeats. If Susanne is up for it, I think it makes sense for her to be the list compiler for the rest of the "Around the World" themes. Maybe after that we can work out another system.

I can volunteer to do it occasionally (compile the swap partners), maybe every 3rd month or something. I think would be kinda cool if we had enough volunteers to compile swap partners that each person only had to do it once or twice a year, which would allow that person more time to enjoy the swaps rather than see it as work. Just a thought!

I also like Maureen's idea of sending an ATC to the organizer!

About posting ATCs in the ATC Gallery: maybe we can adjust the rules for the ATC Gallery so that after a certain amount of time, say 3-4 weeks after someone mails their ATCs, they can post the ATCs they created in the Gallery, so that everyone can see them? That way if none of the recipients post photos of the ATCs you sent them, you still have the opportunity to do it yourself. And you can feel fairly confident that after 3-4 weeks, the recipients will have received the ATCs even if they haven't gotten in touch, so chances are you won't be ruining the surprise by posting them.

About future themes: I like the idea of having one "main" theme that spans several swaps (in this case, "Around the World") with several months of themes based on that main theme. Is this something that interests others also? Is it something we should try to carry forward into future swaps? For instance, we could do several months of "Fairy Tales" with each month being a different fairy tale, etc. I find that having an overall unifying theme makes me more eager to participate, because I want to collect the whole "set"! Whereas if each month's theme was random and unrelated, I might not have the same motivation. What do others think?

I saw future theme ideas being thrown around in another thread - maybe it would be helpful if we started a new thread proposing potential future themes?

More great idea here, thank you for chiming in Thaneeya. I also like Maureen's idea of giving an ATC to the coordinator and share her concerns about managing the partner list. We almost need a master partner swap list...although it will always be changing so this could be an impossible task.

In terms of sharing responsibilities: I'm probably an odd ATCer because I would not mind being paired with the same people on different swaps. Maybe this is big deal for some folks that we have to careful to steer clear of when we set up swaps. It sure would be an easier job if this was not a concern! I wonder if anyone else feels the way I do, that it is important to try to pair people with a good mix of international and non airmail partners, so no one is given all airmail partners.

I think you have given us a good start with your bullet point list. 

About posting ATCs in the ATC Gallery: Why not have the person who created the ATC post it right away? I know I posted a bunch of the ones I created in my own ATC portfolio as I was creating them. I think it would cause a lot less stress for people. 

About future themes: I like the idea of future "main" themes spanning several months as Susanne has done with "Around the World". It gives us time to play with ideas and adds a collectable interest to the swap, as you point out Thaneeya. You are motivated to participate because you want to collect the whole set. Seems like a great idea. I will get a proposed theme thread started so we have a place to collect our ideas!

I am also happy to help manage a couple of swaps a year. Susanne will be so delighted to see that we have been busy creating ways to support her marvelous efforts as our Swap Queen! I can't wait to share this with her.

Im thinking posting your own atc's would be a great idea. I just thought we really werent suppose to post, that the recieving person was suppose to post. But im game.

Future themes....i like the main themes. Kind of nice knowing ahead of time what to do.

Maybe a separate thread for anyone looking for a "private trade" OR if you make several atc's you can post them and another member can request a trade off of what they see (this is done in another atc trade i do). OR...just a thread gallery of atc;s in general. no specific theme but something lets say one person might be interested in, message that person and do a private trade. so one would post lets say 5 atc's "up for trade" and someone else could respond to that.??

And thanks for your feedback on having the artists post their own ATCs. You bring to light something I had been unaware of: I wasn't supposed to post my own ATCs that were part of a themed swap. I had no idea at the time I did this...so can you imagine my surprise when I learned that it was supposed to be the person who received the card that posted it. Talk about feeling very silly. 

So maybe we can post how the sharing of the images works along with the swap theme?

Oh i dont think it was in writting anywhere, no real guidlines on posting. I just think its courtesty. But thats just me.

On the private swaps what another sight does is they have a thread where ppl would just post atc's they've made and anyone that would like to swap with them will post on their picture. I do know they go fast (ive only gotten there first two times) LOL.

oh, and id like to see the handmade cards posted also. I put alot of time/effort into the cards. I love doing the cards with the atc's. bigger canvas so to speak, for me at least. These old eyes have a hard time with the atc's LOL

Christina I have a feeling that my lack of experience with swaps led to my "confusion" about posting the cards I had created. I have a feeling I wasn't alone, but maybe I was. I think it would be helpful to spell this out so there is no confusion.

The private swap ideas sound like an interesting sidebar activity. And I'm sure there is a run on these cards when they are offered...so time would be of the essence in getting the ATCs of your choice. Maybe we want to have a way to share when cards have been swapped so people know that they are no longer available. I think that taking them down from the available list would probably take care of this.

Handmade cards are a part of this group, so adding some card swaps seems like a great fit. Maybe we should start a separate thread for these?

 

Sandi this is a delightful idea. I've seen things like this done in a local arts group (Earth Arts) I belong to. The "books" that are created are quite lovely and are treasured by the people who participate. I think it's a great idea for a swap!

The books that were the most successful for the Earth Arts swaps were ones where people could sign up and commit to creating a certain number of pages by a certain time. The size of the pages was agreed upon and would have pre-punched holes in the side so they could be easily assembled into books when they were completed. When the artist was done with a page, they would send it off to the next partner on the list.

When the books were completed, they would be photographed and shared with all participants through a website gallery. Great idea Sandi. This can be done in so many different ways!
